Getting rid of worries is what Gotham Sales Company does for its customers. It is a company that specializes and deals with warranties for the appliances which you buy for your home such as televisions, desktop PCs, portable gadgets, dishwashers, refrigerators, VCRs and many more. What Gotham Sales Company does is that it sells these warranties to your local retailers. On top of that, it is also a representative for manufacturers of popular brands of consumer appliances such as AESP Connectivity Products and Fedders. The strategy of using or having a middleman to distribute the products from manufacturers was cut off. This tradition was done many years ago by some big appliance manufacturers. They intended to sell their products directly through direct channels to retailers which took away the necessity for representatives and distributors who have been pushing their products for a long time. Gotham, together with many other companies, found themselves in the cold with large payrolls and costly mainframes that are no longer practical. Luckily, Gotham had a lot of warranty jobs to keep a leaner, meaner business going strong but the shift in business direction would need reconsideration of the company’s staffing and computer systems.
Because of the recent layoffs which led to the lack of IS personnel, it was necessary for many non-computer professionals to tackle with information management. Gotham Sales Company was already using Sage MAS 90 running on their UNIX platform and were already happy with it. However, they were concerned if Sage MAS 90 can work well on a Windows NT system. Could transferring Sage MAS 90 in Windows NT allow them to transfer files without system failure or loss of data? Is it hard to learn Sage MAS 90 in Windows NT and could it be as reliable like the their old UNIX system?
Gotham’s external accountant suggested a Sage MAS 90 reseller with lots of satisfied clients on Windows NT. Danny Schwartzstein, Gotham’s president, spoke with many of these clients, and felt reassured that NT was a steady system. He also heard many good things with regards to Sage MAS 90 on NT. On top of that, he saw how almost anyone in the company can do bookkeeping jobs on Sage MAS 90.
“I’m a salesman, not an accountant or a system administrator,” says Schwartzstein. “I wanted an easy to use but robust accounting software to run my business on my behalf. If I think I’m generating X dollars every year, I would like the package to get the same numbers. Sage MAS 90 does all that for me. Any time my accountants come in at the end of the quarter, there’s hardly any that they need to do, since our internal bookkeeping is so accurate.”
Gotham now uses Sage MAS 90 to carry out practically anything, such as tracking purchases, inventory and collections. It prints invoices, shipping releases, purchase orders and envelopes. One extra bonus is that the new system outputs to plain paper, a far more effective solution compared to the old dot-matrix printer with preprinted forms.
A custom module also provides enhanced capabilities to their standard Sage MAS 90 package. When Gotham delivers directly to a customer instead of the retailer, the system module tracks end-user detail, such as name, address and telephone number. This information is printed out on the shipping release, saving considerable time over previous manual procedures.
Customer information is also provided to the retailer, who receives a copy of the billing data behind their summary invoice. Data is furthermore accessible on the internet. If retailers want to know about a specific customer delivery, they could call or e-mail Gotham, and obtain a fast electronic response with up-to-date documentation.
Because all the modules within Sage MAS 90 work in a similar fashion, it’s easy for staff throughout the company to input and process information. This is essential in a small firm like Gotham Sales, where duties will often be shared, and people need to carry out duties outside their regular area of expertise.
“If we’re trained on a module and don’t have to use it for a while, we’ve have got to be able to get up and running again quickly,” explains Schwartzstein. “Let’s say that my bookkeeper is in charge of posting receivables, and she gets sick for a week. Somebody else will need to cover for her, andoften that someone is me. It’s essential that we can transport knowledge from one module to another with no downtime, and keep the system working smoothly.”
Schwartzstein reports that the Windows NT version of Sage MAS 90 is a whole lot easier to get around in compared to now outdated UNIX version, and it offers more superior reporting functionality.
He says he’s found it incredibly reliable, as well. Stability has proved to be a nonissue. In six months, the new Sage MAS 90 system has never crashed. Data was transferred electronically, without a hitch. The new system worked wonderfully, in fact, that Gotham ran its old and new systems in parallel for only two weeks. The first month-end numbers came out similar.
“It’s incredible whenever you look at what you’ll get for your dollar now in the computer world,” Schwartzstein comments. “I invested about one-third as much on my new NT system running Sage MAS 90 as I did a decade ago for an IBM mainframe, if you include all the programming time I had to buy before. And I’ve acquired a lot more powerful program, that’s easier to work with, faster, and much more versatile. Now I’m assured I can expand the business to 10 times our current volume, add product lines, even expand to new areas, all with our existing MAS 90 capabilities.”
